Position Summary
The Boeing Global Enterprise Services Administrative Assistant is based in Istanbul and reports to the Türkiye Business Support Manager (located in Ankara) and will support various Business Units located throughout Türkiye, provide back-up support to Business Support Specialist (Istanbul) and the Business Support Manager. The incumbent ensures compliant, safe and efficient operation of the Teknopark Engineering Center and coordinates with internal stakeholders and external vendors.
Key Responsibilities:
Front Office Management:
- Serve as the primary on-site point of contact: answer/triage phone calls, welcome and register visitors, manage courier shipments and mail.
- Coordinate meeting and event logistics and maintain reception standards.
- Monitor and replenish office supplies and inventory.
Facilities & Equipment:
- Log, track and resolve facility and equipment issues with Facilities Management and contracted vendors.
- Coordinate repairs, preventive maintenance and vendor access; ensure SLA compliance and documentation.
Safety, Health & Security:
- Conduct monthly office safety checklist reviews and manage corrective actions using company tools.
- Maintain and update the site Business Preparedness Plan, Emergency Plan and Dialogic Scenarios; support quarterly testing and drills.
- Coordinate H&S training (first aid, AED, fire safety) and ensure compliance with local and Boeing policies.
Finance & Procurement Support:
- Administer payment processes and prepare Payment Request Forms.
- Raise requisitions for facility-related procurement; review and match contractor invoices to purchase orders.
- Maintain expense reports with 100% receipts retention and accurate recordkeeping.
- Conduct all necessary reporting activities on the Teknopark portal in accordance with regulations.
Records & Inventory Management:
- Maintain site records, accounts and OEM facility manuals per company and local requirements.
- Ensure document version control, retention and accessibility for audits.
Team Collaboration:
- Provide timely operational support and act as on-site backup for the Business Support Specialist.
- Build and maintain effective relationships across BGES functions, site leadership and external vendors.
Required Skills & Competencies:
Excellent written and verbal communication in English and Turkish.
Strong interpersonal, stakeholder engagement and conflict-resolution skills.
Proficient in Microsoft Office (Word, Excel, PowerPoint) and comfortable with online tracking tools.
Proactive, composed and able to prioritize in a dynamic environment.
Demonstrates sound judgment, initiative, discretion and ability to escalate appropriately.
Collaborative team player with experience in multicultural/dispersed teams.
Strong organizational skills and attention to detail.
Education & Experience:
University degree in administration, languages or related discipline preferred.
Experience in an international or multicultural corporate environment preferred.
Flexible to work additional hours when required and willing to travel as needed.
Performance Expectations:
Timely resolution and closure of facility and safety actions.
Compliance with site emergency preparedness, safety and security procedures.
Positive stakeholder feedback and demonstrated reliability as site point-of-contact. Applicable and appropriate educational/certification credentials from an accredited institution and/or equivalent experience is required.
