Facilities Coordinator

In partnership with the ADF and the Commonwealth, Boeing Defence Australia (BDA) provides aircraft maintenance and upgrades, component maintenance solutions, technical support, mission-critical infrastructure support and training on some of the most capable surveillance, command, control, and combat platforms in the world.
BDA is looking for a Facilities Coordinator who will join the P8 Poseidon team. In this role you will Support and assist the Senior Site Serves Lead in overseeing facility operations for efficiency. This role will suit someone who has previously worked within a facilities management role. You will have a busy yet varied day from engaging with contractors to data analysis. The successful person will also need to have excellent communications skills as they will be liaising with stakeholders of all levels.
This role is based at RAAF Base Edinburgh, Adelaide.
As a Facilities Coordinator within BDA, you will
- Coordinate maintenance requests and ensure timely issue resolution.
- Conduct inspections of contractor works to ensure compliance and quality is maintained.
- Facilitate site inductions for contractors and personnel as needed.
- Support planning and execution of facility projects, including renovations and relocations.
- Analyse facility performance data to identify improvement opportunities.
- Maintain relationships with external vendors and service providers, ensuring effective communication and service delivery.
Coordinate and escort contractors for facility related services, as required. - Monitor vendor performance and report issues to the Senior Site Service Manager
- Participate in safety audits and ensure compliance with regulations.
- Ensure facility operations comply with fire, health, safety, and building codes, including coordinating training for First Aid officers and Wardens.
- Serve as the primary contact for facility-related inquiries.
Prepare updates on facility operations and project status for the Senior Site Service Lead. - Regularly communicate updates and changes to the Senior Site Service Lead as it relates to floor plans, employee facility movements, rules, policies, and local requirements.
- Acts as the key point of contact for the RAAF Base EDN P8SP sites with the Commonwealth of Australia (CoA) representatives.
- Responsible for communications to building occupants of relevant facilities activities such as power outs, works planned or general notifications that may impact occupants (including managing distribution lists)
About you
To be successful in this role you will have:
- Relevant qualifications associated with business or other relevant technical background.
- 3+ years direct experience in facilities, office management or site services operational role
- Experience working in a large matrix organisation.
- Experience working remotely with a geographically dispersed core team.
- Experience dealing with senior stakeholders and translating operational requirements into actionable deliverables.
- Experience with managing and coordinating site operations as it pertains to local laws and company policies and procedures.
- Strong relationship building and stakeholder management skills.
